Client cases: before and after
Three of the businesses I'm working with in 2026. With each one I started from the same place: going through how the owner's day actually runs, together with them. Then we built a system for the business together: AI connected to its numbers, customers, tasks and documents. The results are told by the owners themselves.

Before
Data was scattered across bank statements, the website, spreadsheets and separate files, and tasks and deadlines lived in her head. It wasn't clear whether the business was making money or which sales channel worked. Nobody had worked out what each product really cost to make. More than 500 customers had piled up over the years in WhatsApp chats and nowhere else. Her words: "We make decisions blindly. I'm tired of keeping it all in my head."
What we built
- The system was set up in four days on site, sitting next to her.
- Every morning the system pulls together the money from three sources and sends her a report on how much came in through each sales channel.
- Customers from her WhatsApp chats were sorted into groups.
- All recurring tasks were brought into one place.
After
- Once she knew the real cost of each product, a price that felt too high turned out to be a good one.
- Using the system, she worked out what her overdraft was costing her and prepared a loan application and a presentation for the bank.
- Sales nearly doubled from May to July, by her own estimate. She puts it down to two things: moving from small retail to wholesale, and planning every week by the numbers.
- She works in the system every day. Her words: "I couldn't have done in a month what I did in these few days." "No more worrying that we've lost something." "My head isn't overloaded anymore."

Before
Everything lived in WhatsApp, email, the phone and an Excel sheet. There was no single picture of the business. They were paying for a CRM, but it sat empty, with no pipeline and no data: customers lived in the spreadsheet and the chats. The website had a contact form and a button to order a sample. The owner handled most customer questions himself by phone, and that took more of his time than anything else.
What we built
- An assistant on the website. It answers questions and advises on flooring like a salesperson, and leads the customer to the next step: a sample, a showroom visit, an order. It records the lead in the CRM on its own. Where a person is needed, it creates a task for the team and hands the customer over to the store's WhatsApp.
- A working CRM with a sales pipeline instead of an empty one. Leads from the website land there by themselves.
- A personal system for the owner. It knows the business, keeps his tasks and schedule, helps with construction orders (estimates, purchasing, market prices, tenders), and sees website analytics, email and part of the finances.
After
- The system took routine work off the owner and the team. The assistant on the website answers, advises and sells on its own.
- With his system, the owner launched a new line of business, supplying building materials to companies, and orders are already coming in.
- His words after an hour and a half in the system working on a tender and purchasing: "I'm happy with the result."

Before
Documents were everywhere, with no order to them. She didn't know what to post or how: the brand had no voice of its own, and every text started from a blank page. The processes all depended on her, and materials for each client were put together from scratch every time.
What we built
In a couple of weeks and a few working calls:
- A system in Claude Cowork: a folder for each line of work and each client, every document in its place.
- A brand voice: posts and texts written in her style instead of from a blank page.
- Everything for client meetings in one place: materials, context, next steps.
- A step-by-step guide in plain language.
After
- She works with the system on her own. Her words: "Everything runs like clockwork, everything is in its place, and I can finally see the whole picture."
- "Instead of spending months figuring it out on my own, I had a working system ready in just a couple of weeks."
